You have been invited to run your own practice inside a clinic that uses Aperta Health's booking system. This walks through every screen you will use, in the order you will meet them — from the invite email to your first settled month.
The clinic sends you an email. The button in it sets your password and asks you to accept the platform terms; after that you have a portal of your own. The link works for 7 days — if it has expired, ask the clinic to resend it.
Note: You stay fully independent. The clinic confirmed your licensure and your agreement with them when they sent the invite; Aperta Health never manages you.
You sign in on the same page the clinic's staff use, with the email the invite was sent to. What opens is yours alone: seven pages, each about your own work.
Your portal. On a phone the same seven pages sit along the bottom.
Your page cannot be found by clients until your setup is complete, so Home keeps a list of what is still missing. Eight things, each one on a page of its own. Work down the list and the card changes to "Your page is ready".
My Page is your profile as clients will read it: your name, credential, license, a photo, a short bio, and the address of your page. The license and the credential matter — they are printed on your page beside a line saying you are an independent practitioner at the clinic.
Note: The disclosure on your page is written for you: "Lisa Brown is an independent licensed massage therapist practising at Active Wellness Chiropractic." It uses your credential, so get that field right.
Each service has a name, a length and one price. The length is the room every booking of it reserves on your calendar, in five-minute steps, so set it to the time the visit actually takes including turnover.
Tick the days you work and set an opening and closing time for each. Clients see times inside those windows that fit the length of the service they pick. Days off block a whole date without touching the weekly pattern.
With every item on the Home checklist in, your page is published at your address on the Aperta Health site. Clients read who you are, see your services and prices, and book a time without creating anything first. The clinic's own page links to you too.
Note: You are listed on the clinic's page as "Also at Active Wellness", and nowhere else on the network. Your page is the place to send people.
Schedule lists your visits for the day you pick. Each one carries the three things you do with a visit: write a session note, complete it at checkout, or cancel it.
A session note is plain text, one per visit, written in your words. It is for you and for the clinic's staff, who can read it on their side; it is not a clinical note and never mixes with the clinic's records. Edit it any time and the latest version stands.
At the end of the visit you record it: the services given, how the client paid, and how much was taken. The client pays at the clinic's desk on the clinic's terminal; what you record here is what your earnings are figured from, so complete every visit.
Note: Taken today cannot exceed the total: a visit cannot be overpaid here. If the client paid less than the total, record what was taken; the desk handles the balance.
When you need to cancel, do it from the visit so the client is told. The cancellation text and email go out from the clinic, in your name, and ask the client to reply or call the desk to rebook.
My Clients lists the people who have had a visit with you, with a search box. Open one for their contact details, the visits they have had with you, and the notes you wrote. It holds nothing from the clinic's side.
Earnings reads from the visits you completed. It states the terms in one sentence, shows what was collected and your share all-time, and lists every month. The figures are an estimate from the percentage the clinic set; the clinic settles up with you from its own books.
Every text and email about one of your visits comes from the clinic, names you as an independent practitioner at the clinic, and tells the client that replying reaches the clinic's front desk. That is deliberate: from the first message your client is in a conversation with the desk that books, takes payment and answers the phone.
Confirmation, when they book.
Reminder, the day before. Shorter, and no invitation.
Eight things on the Home checklist, and your page is live. From then on it is three taps per visit: a note, Complete visit, and the occasional cancel. Earnings keeps the score for the two of you.
